Construction site management software for day-to-day execution control

Construction site management software records what happens on a site each day. SuperWise keeps deliveries, labour, task progress, issues and quality checks together, and compiles the daily and management reports from them.

Where site control slips

The register, the challan and the report disagree.

Sites record plenty. The records sit in a store register, a chat group and a day-end report, and they rarely agree.

  1. Reports that arrive after the day

The office hears about a short delivery or a stalled task when the day-end report is typed up, sometimes the next morning. By then the supplier has left and the crew has moved on.

  2. Records that do not match

The store register, the supplier's challan and the daily report each carry their own quantity. Someone at the head office has to choose which quantity goes on the supplier's bill.

  3. Shortfalls with no record behind them

Pilferage goes unnoticed when a delivery has no record against a purchase order and a consumption has no record against a task. At the stock count, the shortfall then has no entry showing who booked the material in or out.

How it works

How the day on site gets recorded

01 · Receiving

Receiving material against the purchase order

In material management, each delivery is tied to a purchase order (PO) line. The site raises a material indent with a required-by date, photos and a GPS location, and can link it to a BOQ item. Procurement turns the indent into a PO, directly or through quotations, and the PO is approved before any delivery can be received.

Each delivery is then recorded as a material delivery challan (MDC). The challan holds the supplier's challan number, the vehicle registration and driver, the quantity, three photo fields for the loaded vehicle, the unloaded vehicle and the material, a quality status and the person who did the quality check. The quality status is satisfactory, rejected, or unsatisfactory but accepted.

The challan is the goods receipt. Stock on site is the accepted challans less the consumption booked against a task or a BOQ item, and the supplier's bill is reconciled against accepted challans only, at the PO rate.

02 · Issues and checks

Issues and quality checklists

An issue is any problem, snag or delay a site wants on record. Someone logs it with a type, a title, a priority from low to critical and photos, and can tie it to a schedule node, a task, a responsible contractor or a department. It moves through open, in progress, resolved and closed, or ends as rejected when it is invalid or a duplicate. Issue types come from a company list, such as equipment breakdown, safety incident and material shortage.

Snags use the same record, so a punch list is a set of issues with a responsible contractor and a target closure date. A delay is an issue too, and each issue keeps who opened, resolved and closed it.

Checklists are the quality forms. A form can hold text, number, date, yes or no, dropdown, photo and signature fields, and each field can carry an expected response. A form can require approval, and a task can need a checklist before it starts or before it finishes. When a task enforces its checklist, it cannot be marked complete until the checklist is approved. A delivery challan can carry a checklist too.

These forms carry the QA/QC checks, for example a checklist a task needs before work begins, and they sit in the construction quality and safety module.

03 · Many sites

Running several sites at once

Every record in SuperWise belongs to a project. You pick the project in the selector in the top bar, and the project-level modules (deliveries, issues, tasks, reports) follow that choice. A user's default project opens at login, and the dashboard for the selected project lists the items waiting for that user's approval.

Masters such as users, roles, resources and checklists are set once for the company and used by every project, so each site records in the same way. The portfolio summary report then covers every project a user can access, with each project's schedule status, overall percentage complete, cost to date against budget and number of open issues. It is meant for director and PMO review.

A project can be flagged as a godown, which marks a warehouse that holds stock rather than a construction site. Resource transfers move material from one project to another, and the DPR lists the materials sent out of a project.

What is construction site management software?

Construction site management software records what happens on a site each day, and SuperWise keeps deliveries, labour, task progress, issues and quality checks in one project record that the daily report and the management reports are compiled from.

Site workflows SuperWise covers

A site runs on six routines, and each one has its own record in SuperWise. Your site engineers, store keepers and supervisors write those records during the day, and the daily report app compiles the daily progress report from them afterwards.

Drawings and their revisions sit in a separate module, construction document management.

  • Daily reporting, with eleven selectable DPR sections that each read from their own module
  • Materials, from indent and purchase order to delivery challan, stock and consumption
  • Tasks, with progress logged against the schedule one task at a time or by Excel upload
  • Issues and snags, with a type, a priority, a responsible party and photos
  • Quality checklists, filled on tasks, on deliveries or as stand-alone inspections
  • Attendance and labour, with staff attendance and labour challans by contractor

Integrity and the audit trail

Role privileges decide who can write a site record, and a created-by stamp shows who did. Each role has privileges per module area, set as a mix of view, create, edit, delete and approve, and the areas include tasks, purchase orders, labour challans, delivery challans, issues, checklists, reports and documents. A user can hold several roles and works in the projects they are assigned to. Vendor and contractor users added as external users see only their own organisation's transactions.

Delivery challans, indents and purchase orders keep who created them and when. A purchase order also keeps who changed its status and when, and an amended one keeps a snapshot of each earlier revision with the reason. Where the approval workflow applies, which is POs, work orders, RA bills, expense vouchers and schedule changes, each step records the approver, the date and a comment.

A company setting adds a visible timestamp to images captured through the mobile app, so a delivery photo uploaded days later does not pass for a new one. It is off by default and an administrator turns it on. Issues and labour challans each store a GPS location.

Quantities are gated at the purchase order. Each PO line has a maximum quantity that deliveries cannot exceed, and a permissible variation set on the resource allows a small tolerance. The quantity received against a line therefore stays tied to the quantity ordered. The MIS report also lists unplanned material purchases, meaning delivery challans with no matching PO or no BOQ link.

A company can choose to delete delivery challans once an approved bill includes them, which suits very high-volume infrastructure sites. The setting is off by default, and leaving it off keeps the full challan history.

Proof from infrastructure sites

Public infrastructure projects such as roads, bridges, water pipelines, railways are difficult to track given the nature & speed of work. With SuperWise, though, we have been able to efficiently track and curb pilferage on our infrastructure construction sites.

Import, export and connect

Site data moves in and out as files and through Zapier.

Excel BOQ export

The project BOQ downloads as an Excel file, and the task-level BOQ has its own Excel export.

Report PDF and Excel

Reports download as a PDF or an Excel file, from the DPR to the portfolio summary. The DPR can cover one date or a date range.

Microsoft Project import

Schedule templates import from a Microsoft Project file (MPP or XML) or from Excel, and the schedule playground assembles them into the project schedule. See the Microsoft Project integration.

Zapier triggers and actions

Triggers fire when a purchase order is created or approved, a material indent is created, task progress is logged, a site issue is created or a daily report is submitted. Actions create a purchase order, a material indent or a site issue, under the role permissions of the user who connected Zapier.

Bulk import agent

The help agent in the portal validates CSV files for vendors, resources, labour reports and material delivery challans, reviews likely duplicates, runs a dry run and then commits.

How a site team gets started

Set up the company-level masters before the first project, then add the project, then record the site.

  1. Set the tenant settings

Choose the timezone, document numbering, the image timestamp and the notifications for rejections and new deliveries. These apply to every project, so they come first.

  2. Set up roles, users and masters

Create departments, roles with their privileges per module area, users, vendors and contractors, resources, checklists and issue types. These are set once for the company.

  3. Create the projects and the schedule

Add each project with its code, location and working calendar, assign users, and flag a godown if you keep one. Import the schedule into templates, then assemble, verify and approve it so tasks exist to log progress against.

  4. Bring in vendors and records in bulk

Use the help agent to validate and import vendors, resources, labour reports and delivery challans from CSV files.

  5. Record the day and generate the DPR

Log progress, deliveries, labour, issues and checklists as they happen, then generate the first DPR from them.

Frequently asked questions

What is construction site management software?

Construction site management software is the system a site team uses to record daily execution, including work done, material received, labour present, problems raised and quality checks, and to report it to the office. In SuperWise those records sit in one project, so the daily report and the management reports are compiled from the same records instead of separate registers.

Which site workflows does SuperWise cover?

It covers six routines. Daily reporting, materials from indent to stock, task progress, issues and snags, quality checklists, and attendance and labour each have their own records and privileges. The DPR draws on them through eleven selectable sections. Billing, scheduling and documents are separate modules in the same project.

How does SuperWise help curb pilferage on site?

SuperWise does not detect theft on its own, but it keeps the records a store check needs. Each delivery is booked against a PO line with photos, vehicle, quality status and the person who recorded it. Stock is accepted challans less consumption booked to a task or BOQ item, and the MIS report lists deliveries with no matching PO. A counted shortfall can then be traced.

Who can see and change site records?

Access follows roles. A role holds privileges per module area, as a mix of view, create, edit, delete and approve, and a user can hold several roles. Users work in the projects they are assigned to. External users from a vendor or contractor see only their own organisation's transactions. Zapier actions run with the permissions of the user who connected them.

Can one office watch several sites?

Yes. Pick a project in the top-bar selector to work in it, and run the portfolio summary report to see every project you can access. It shows each project's schedule status, overall percentage complete, cost to date against budget and open issues, and it is meant for director and PMO review. A godown can be a project of its own for stock that is not tied to one site.

How does the site record connect to billing?

Accepted delivery and labour challans are the records a supplier or contractor bill is reconciled against, at the PO rate and within the billing period. Pending or rejected challans are left out of the bill. Approved measurement sheets update the BOQ progress that RA bills claim against.

Can we import a Microsoft Project schedule and export reports?

Yes to both. A Microsoft Project file (MPP or XML) or an Excel sheet imports into a schedule template, which the schedule playground then assembles and approves. Reports download as PDF or Excel, and the project BOQ downloads as Excel. Zapier connects other apps to events such as a new issue or a submitted daily report.

Is there a mobile app for site teams?

Yes. The product documentation describes delivery challans submitted from the mobile app, a company setting that adds a visible timestamp to images captured through it, and push notifications when a delivery is submitted or a document is rejected. Both notifications are company settings and are off by default. To see what your site roles can do on a phone, book a demo.
